Terms and Conditions
Sunflower Studio is an arts and events space that provides private hire to guests and members of the Sunflower Community, operated by the Sunflower Studio Community Interest Company. By agreeing to these terms, you are agreeing to become a member of the Sunflower Community, whether as a one-time guest or a regular supporter. You agree to provide your identification if requested to maintain a high level of security and trust within the community.
As a member, you can book the studio and share the space with your private guests, as well as benefit from other perks. By becoming a member, you agree to treat Sunflower Studio and the members of its community with respect and consideration. You also accept full responsibility for your guests and their behaviour while in the space. You will be expected to relay to your guests the terms and conditions of using the space. In the event of misconduct or the case of a severe incident you agree to provide the names of your guests. This will be with the intention of safety for all involved.
Using the Sunflower Studio
Please liaise with a supervisor regarding what set-up you require for your booking. The standard studio set-up comes with minimal furnishings. Soft furnishings such as bolsters, pillows, beanbags, and buckwheat poofs are on-site and available for use. If you require furniture this must be arranged in advance.
Be mindful and respectful of our neighbours. We are situated in the city centre of Brighton, which can be expressive and bodacious. Equally, we may have expressive and bodacious members of our community.
The boundaries and personal opinions of others are to be respected, within the community space and the wider world. We have a zero-tolerance policy for hate speech and harassment in the Sunflower Community.
Noise is to be kept at a reasonable level and we ask everyone to be mindful when entering or exiting the premises. Check-in with a supervisor if you have any concerns about the noise levels of your event.
Where possible Sunflower Studio will help you store equipment and other items using the facilitator’s cupboard. We will not be liable for any damage or loss to your equipment or inventory. We ask that all property is removed when no longer required. If it needs to be stored for a long time, please arrange and agree on this beforehand. For unclaimed or unaithorised items which are not collected within 7 days, we reserve the right to remove them from the studio.
You and your guests must comply with health and safety regulations. Sunflower Studio is not a registered food business and although consumption of food and drink is allowed on-site, members and guests do so at their own risk.
You and your guests must not bring any dangerous or hazardous items into Sunflower Studio and must remove items promptly if requested.
Should you have any questions or concerns relating to the safety of you, your guests, or the Sunflower Community at large, do not hesitate to bring it to the attention of the supervisors or your fellow members.
There is CCTV on the entrance to secure the space against crime and disorder. The camera is not facing the main studio space and is only checked, if necessary, should an incident arise.
Disability Access
Sunflower Studio aims to make its site as accessible as possible and is working to maximise access for all. The studio is on one level and wheelchair accessible.
Open and Close
Arrive promptly to access the premises. Other people may be expecting to use the space at the end of your booking. Be considerate to other people and leave the space as you found it. Should you require time at the opening and close of your booking to set up or take down your space please consider booking a longer slot.
Fire Safety
Candles are allowed in the Sunflower Studio if they are held in an appropriate candle holder and are never left unattended. Incense is allowed to be used by facilitators and ashtrays must be accompanied. Please check with a supervisor before using charcoal disks. Vaping is allowed on-site, but smoking is not.
If the smoke alarm goes off and there is no fire (e.g. you are burning incense) then you can disable and reset it.
- When the Alarm is ringing, press the buttons: Alt – 5 – 1 – 4
- This will give you access to the control panel.
- Then press button 1 (Silence) and then press button 2 (Reset System).
In the event of a real fire emergency, do not silence the alarms. Evacuate everybody through the front door exit immediately onto Upper Gardner Street and call 999.
If there is a medical emergency call 111 or 999 as appropriate.
Misconduct or Incidents
Should you need support in the event of misconduct or incidents do not hesitate to reach out to a supervisor or fellow Sunflower Community members.
In the case of a serious incident, you agree to cooperate with the management team, with the intention of safety for all involved.
We have two security cameras directed towards the front door for everyone’s safety. These are only checked for security.
There is a first aid kit under the sink.
If you feel seriously at risk or threat, or if there is an extreme medical emergency then call 111 or 999 as appropriate.
Damages and Liability
As the renter, you are held accountable for any damages incurred to the rooms or items within them, as well as the overall property, caused by yourself or your guests. If damages are incurred, Sunflower Studio may request payment from you to cover the cost of repairs. Sunflower Studio is not responsible for any loss or damage to personal belongings or equipment brought onto the property by you, your guests, or related third parties.
Cancellations
Cancellations 15 days in advance will receive a full refund.
Cancellations 14 days to 7 days in advance will receive a 50% refund.
Cancellations for events starting within 7 days are non-refundable.
The event date of a confirmed booking can be changed to another date within 2 months from the original date, at no cost. If you would like to move your booking to a date further than 3 months there is a £10 admin fee. We require 7 days notice to reschedule a booking.

Should the terms of this agreement be breached Sunflower Studio has the right to cancel your booking without a refund.
